Who we are
EPPT is a personal training and coaching business based in Hamilton, New Zealand. We deliver coaching at Common Ground Gym, Pure Fitness, and Anytime Fitness Five Cross Roads.
This policy explains how we collect, use, store and share your personal information, and what rights you have over it. We handle your information in accordance with the Privacy Act 2020.

What we collect
Contact details — your name, email address, phone number, and where relevant your address.
Health and training information — injury history, medical conditions relevant to exercise, medications where you choose to disclose them, current activity levels, and your training goals. We collect this so we can coach you safely.
Measurement and progress data — body composition scans, weight, strength testing results, photographs where you have agreed to them, and progress notes recorded by your coach.
Payment information — billing details processed through our payment provider. We do not store your full card number on our own systems.
Website and advertising information — if you visit eppt.co.nz or interact with our advertising, we may collect information about your device, browser, and how you use the site, including through cookies and similar technologies.
Information you give us in conversation — notes from discovery calls, consultations and check-ins.
How we collect it
Most of what we hold, you give us directly — through enquiry and registration forms, consultations, coaching sessions, email, phone and messaging.
Some is collected automatically when you use our website or respond to our advertising on platforms like Facebook and Instagram.
If you register interest through a form hosted by a third party (for example a Meta instant form or a Google Form), that information is passed to us and then handled under this policy.
Why we collect it
We use your personal information to:
- —Assess whether our coaching is a good fit for you, and tell you honestly if it isn't
- —Design and adjust training and nutrition programmes suited to your body, history and goals
- —Coach you safely, including working around injuries and health conditions
- —Track and report your progress
- —Communicate with you about your training, bookings, and any challenge you have entered
- —Process payments and manage your account
- —Send you information about our services, where you have agreed to receive it
- —Meet our legal and health and safety obligations
- —Improve our services and our advertising
We will not use your information for a purpose unrelated to the above without asking you first.
Who we share it with
Your coach and the EPPT coaching team. Coaches see the information they need to train you safely and effectively.
Gym partners. Where you train at a partner facility, we may share limited information such as your name and attendance for access and scheduling purposes.
Service providers. We use third-party tools to run the business, including:
- Training programme delivery software
- Payment processing
- Email and messaging platforms
- Scheduling and form tools
- Advertising and analytics platforms
These providers only receive what they need to perform their function, and are required to protect it.
Where the law requires it. We may disclose information if we are legally obliged to, or where there is a serious threat to someone's health or safety.
We do not sell your personal information.
Photographs and testimonials
We sometimes take photographs or video during training, challenges and events.
We will not publish images of you, or use your story or results in our marketing, without your specific agreement. Where you have entered a challenge that requires progress photographs, how those photographs may be used is set out in the participant agreement for that challenge.
You can withdraw your agreement to future use at any time by emailing ezra@eppt.co.nz. We will stop using the material going forward, though we may not be able to recall material already printed or shared.
Storage and security
Your information is stored in secure systems operated by us and by our service providers. Some of those providers store data on servers outside New Zealand. Where that happens, we take reasonable steps to ensure comparable privacy protections apply.
We limit access to your information to the people who need it to do their job. We take reasonable steps to protect it from loss, misuse, and unauthorised access or disclosure.
How long we keep it
We keep your information for as long as you are a client, and for a reasonable period afterwards — generally seven years — so that we can meet legal, tax and health and safety obligations, and so we have your history if you return to us.
If you enquire but never become a client, we keep your enquiry for up to two years unless you ask us to remove it sooner.
Your rights
Under the Privacy Act 2020 you have the right to:
- —Ask what we hold about you, and receive a copy
- —Ask us to correct it if it is wrong or out of date
- —Ask us to delete it, subject to any legal obligation we have to keep it
To make a request, email ezra@eppt.co.nz. We will respond within 20 working days. We may need to confirm your identity before releasing information.
Marketing and unsubscribing
If you have agreed to receive them, we may send you emails and messages about our services, challenges and offers.
Every marketing email includes an unsubscribe link. You can also reply to any message, or email ezra@eppt.co.nz, and ask to be removed. We will still contact you about anything directly related to a service you are currently using.
Cookies and advertising
Our website uses cookies and similar technologies to understand how the site is used and to make our advertising more relevant.
We advertise on platforms including Facebook and Instagram, which may use information about your visit to show you our ads. You can control this through your browser settings and through the ad preferences of those platforms.

If you are unhappy with how we have handled your personal information, contact us first at ezra@eppt.co.nz. We would rather hear about it and fix it.
